Job Description

Key Responsibilities

1. Sales & Order Processing

  • Receive and process customer orders through phone, WhatsApp, email, or other channels.
  • Prepare sales orders, quotations, invoices, delivery orders, and related documents.
  • Check product availability, pricing, quantities, and customer information before processing orders.
  • Follow up on pending or incomplete customer orders.
  • Coordinate with the warehouse to ensure goods are prepared according to customer orders.

2. Customer Service

  • Attend to customer enquiries regarding products, prices, availability, and order status.
  • Provide accurate information and respond to customers professionally.
  • Handle basic customer complaints and refer complicated matters to the Sales Executive or Sales Manager.
  • Follow up with customers regarding quotations, orders, deliveries, and outstanding matters.

3. Sales Administration

  • Maintain proper and accurate filing of sales documents and customer records.
  • Update customer information, product prices, and sales records in the company’s system.
  • Prepare daily, weekly, or monthly sales reports when required.
  • Assist sales personnel with administrative work and documentation.
  • Ensure all sales transactions are properly recorded.

4. Coordination & Follow-Up

  • Coordinate with the warehouse regarding stock availability and order preparation.
  • Coordinate with delivery personnel regarding delivery schedules and customer requirements.
  • Liaise with the Accounts Department regarding payments, credit customers, and outstanding balances when necessary.
  • Follow up on back orders, pending deliveries, and customer requests.

5. Stock & Product Information

  • Check stock availability before confirming customer orders.
  • Inform the sales team of low-stock or unavailable products.
  • Assist in monitoring fast-moving products and customer demand.
  • Ensure customers receive correct product information.
